Mission Coordinator Quick-Start

Mission Coordinator Quick-Start

Your first 30 days as an Eagle OPS Mission Coordinator. Reach One More. Version 1.0, September 19, 2026.

What a Mission Coordinator is

You are a trained volunteer Difference Maker who hosts official Eagle OPS Rally Points: recurring, no-pressure gatherings where veterans, service members, families and supporters build real relationships. You are the community gatekeeper. Your job is to show up, welcome people home, run the Rally Point well, encourage every attendee to complete the Battle Buddy Check-In, and report what you saw.

You are backed by your Outreach Manager (OM), who is backed by the Director of Outreach. You never carry the weight alone.

The one rule that shapes everything: connect, do not fix. You are a peer and a guide, not a clinician. You recognize needs and connect people to the right person or resource. You do not diagnose, counsel, or treat.

Week 1: get set up and cleared

Before you host anything on your own, get these done with your OM. These protect the veterans, the community, and Eagle OPS.

Paperwork and clearance

  • Application submitted and approved by leadership; your role (Mission Coordinator or Rally Point Coordinator) and your city or location assigned.
  • Sign the Code of Conduct, the Confidentiality and OPSEC agreement, and the Background Check Consent. Background check initiated and cleared.
  • Acknowledge the Incident Response process and review media and photo expectations.

Get connected to your leadership and tools

  • Your Outreach Manager is assigned. Save their contact info and complete your intro call.
  • Review the Coordinator Handbook.
  • Bookmark your working tools (see Tools to bookmark) and save the 988 Veterans Crisis Line in your phone.

Learn the core

  • The Eagle OPS mission and the meaning of Reach One More.
  • Why we say “Welcome Home,” and how to use it.
  • Your role boundaries: connect, do not fix.
  • What a Rally Point requires, the Fire Team idea (2 to 3 battle buddies), and the crisis escalation protocol.
  • Approved versus prohibited purchases, and how gear checkout and storage work.
Training runs in MyETP at eagleops.org/my-etp. Mission Coordinators complete 5 required modules (including the Battle Buddy Check-In SOP) before hosting independently. The mission still comes first: you may shadow and co-host under your OM’s guidance while you finish training. Shadowing and co-hosting count as training.

Weeks 2 to 4: shadow, co-host, then lead

  1. Attend Rally Points near you. Watch how the acting lead opens, runs the Battle Buddy Check-In, and closes. Introduce yourself and start building your Fire Team of 2 to 3 battle buddies.
  2. Co-host with your OM or an experienced MC. Take a piece: run the welcome table, lead the check-in push, or handle setup and teardown.
  3. Plan your first Rally Point (5 to 7 days out). See the planning checklist below.
  4. Lead it, with your Fire Team and OM aware. Then submit your After Action Report within 24 hours.

Planning a Rally Point (5 to 7 days out)

  • Confirm date, time, and venue, and get it listed on OKVeteransCalendar.com.
  • Notify your Outreach Manager. If it is a new Rally Point, get it approved first (New Rally Point Proposal).
  • Identify gear and supplies, and submit a Supply Request for approval (or RAMP approval) before spending anything.
  • Confirm your Fire Team and have the Battle Buddy QR code ready.

Rally Point run-of-show

Setup (arrive 30 to 60 minutes early)

  • Do a safety scan of the space.
  • Set tables, chairs, and signage. Get the welcome and check-in area ready with oath cards out.
  • Set food and beverage. Huddle your Fire Team and assign roles.

During the Rally Point

  • Greet everyone with “Welcome Home.” Use the Coordinator Script.
  • Share the mission and lead the Eagle OPS Oath.
  • Encourage every attendee to complete the Battle Buddy Check-In (QR code visible), and promote OKVeteransCalendar.com.
  • Enforce the Code of Conduct and quietly monitor for anyone in distress.
  • Take photos respectfully and count attendance.
Photos show participation, signage, and activity. They must never capture sensitive conversations, anyone who is intoxicated, or anyone in distress. Dignity and privacy first.

After every Rally Point (within 24 hours)

A Rally Point is not complete until the After Action Report is submitted. The acting lead submits one AAR per Rally Point within 24 hours; every other Fire Team member logs their Difference Maker Hours separately.

  • Submit the After Action Report and log attendance.
  • Document highlights and challenges, and upload photos.
  • Log your own Difference Maker Hours and confirm your Fire Team’s hours.
  • Submit In-Kind Donation Forms and any Online Donation Report; deliver cash or checks securely and upload RAMP receipts.
  • Return or store gear, and report any damage or loss.
  • Send a short summary to your Outreach Manager and flag any veterans for FOX follow-up.

Your ongoing rhythm

Monthly Quarterly Annual / Bi-annual

Boundaries and crisis

Connect, do not fix. You are a peer guide. If a veteran needs help beyond a warm welcome and a referral, that is exactly what the Fire Team, your Outreach Manager, and the veteran journey exist for. Bring them in.

If someone is in crisis: follow the crisis escalation protocol you reviewed in onboarding, call or text 988 then press 1 for the Veterans Crisis Line, stay with the person, and notify your Outreach Manager. Do not try to counsel or treat.
